JOB PURPOSE
Responsible for controlling the Company's Service Center image by providing administrative support to after sales clients, following -up their repair, installments, training, swap and other requirements, and answering their queries in accordance to the company's policy. The candidate will be reporting to the customer service manager.
KEY ACCOUNTABILITIES:
1. Monitors clients' requests, received directly from clients or through Sales Department and Dealers. Categorizes incoming and outgoing service, and delivers to Technicians based on specialization, location, and as approved by the Chief Technician and Department Manager.
2. Coordinates with clients the delivery process of maintained products. Reports preferable actions and initiatives to Department Manager and respective Technician, and follows-up implementation meeting clients' exact needs.
3. Sets and provides technicians with a service action plan for incoming & outgoing service (internal & external) scheduling type of service activity, dates, times, client name, and location to facilitate providing excellent service.
4. Submits a report on defected items and controls the use of necessary spare parts maintaining accurate and correct records in conformity with the units delivered to the Service Center.
5. Controls lending process of items, as alternatives when reparation takes long time to be accomplished. Completes Loan Unit Form, and follows -up return of items to stock, when repair is accomplished, ensuring quantity and quality of stock.
6. Prepares, produces, and submits invoices for spare parts, installations, reparations and other after sale service provided by the Service Center using COSMOS system and ensuring accuracy.
7. Coordinates with the Accounting Department the invoices for all after sale service and the daily cash box received from clients ensuring accuracy and conformity of records.
8. Answers incoming calls and inquiries received from clients and dealers providing accurate information on the after sale service and meeting clients' satisfaction.
9. Maintains records of all activities provided by the Service Center, including invoices and inventory and generates related periodic and requested reports ensuring accuracy and timely delivery.
10. Assists the warehouse in maintaining inventory records of spare parts and items related to company products reporting on new item stock.
11. Generates and escalates periodic and requested reports ensuring accuracy and timely delivery.
12. Performs other duties in line with scope of work and as assigned by the direct manager.
