1. Responsible for all employee letters, daily requests, name tags and the HR roster/PH.
2. Maintain an efficient filing system in the office and file daily (Performance Appraisal, Public Holidays SCF, Warning letters…etc)
3. Prepare the Birthday List & cards each month and forward to florist
4. Ensure that there is an adequate supply of Office Stationary.
5. Responsible for preparing the letters and ensuring fair participation in the Round Table.
6. Support HR Department in planning well ahead for all staff social functions e.g. Anniversary with the Company, Christmas Parties, Summer Picknik etc.
7. Prepare the notice board for all new hires, promotions and transfers
8. Set-up the training room for orientation
9. Responsible for the paper work of new hires during orientation, collect passports, take pictures, update their files and make sure they are current and neat
10. Submit documents for the Bank
11. Enter into OASYS and the Staff List the information of new hires and Update Residency Card and Passport
12. Scanning new hires fingers in the Time In and Time Out Machine
13. Responsible for the Five Star Event (BEO, Presentation, Certificates, letters, arranging flights and reservations for Five Star Winners of the year…etc). Ensure nomination forms are distributed and tracked for voting for Five Star of the Quarter.
14. Prepare and coordinate General Session presentation & event.
15. Prepare congratulatory letter for promotions or transfers.
16. For Resignations, the SCF must have the Resignation Letter and latest PH Track Form. This should be submitted to Finance with the Final Payment computation and attached employee contract. For those resigning less than two years, their LPO during their hiring should be attached, as a back up, for the payment of their relocation costs. Make sure that their Clearance is completely signed before the Final Payment should be made. The Bank must be informed on who are leaving the company and their effective dates.
17. Responsible for repatriation of employee. Airline Ticket / Shipment of personal goods.
18. Responsible for Manager transfers fond farewell, reception and picture frame.
19. Files should also be updated with the leavers and should be removed with the resignation of an employee.
20. Turnover Summary of leavers and new hires updated every end of the month.
21. List of employees and pictures updated every month
22. Tracking the Employees Performance & Development Process on a monthly base.
