Position Overview:
Responsible to improve the measures for the area of services, manage, utilize, and organize the efforts of my staff to achieve the departmental set objectives. Direct and coordinate activities concerned with acquisition of automotive equipment and operation and maintenance of automotive fleet repair and storage facilities by performing the essential duties personally or through my direct reports & supervisors.
Essential Duties:
- Set individual objectives for each key position and ensure that they are achieved within the targeted time.
- Ensure that the guidelines and rules relevant to my area are implemented and respected.
- Manage personnel which typically include recommendations for hiring, performance evaluation, training, work allocation and problem resolution. For lease contracts that require supply of drivers, car washers, site coordinators, site technicians and other manpower, ensure that timely coordination is made with H.R. department to supply required numbers and qualifications of direct manpower.
- Ensure that all logged in customer messages are attended within 2 hours. Continuous monitoring of system shall be made in this regard.
- Build strong relationship with dealer, service providers, parts suppliers and insurance companies.
- Ensure that timely follow-ups have been made with customers for renewal and/or return of vehicles upon expiry of contracts.
- Develop and implement annual business plan for the department.
- Ensure the utilization of workshop resources, and assets for excellent rates of productivity & efficiency.
- Direct procurement of all types of company owned and operated automotive equipment and materials, supplies, and parts required to maintain automotive equipment, garages, and storage facilities.
- Prepare preventive maintenance schedule for whole company fleet and ensure that maintenances are done as per the schedule.
- Ensure that all accident vehicles are repaired under insurance or by charging customer with the cost of repairs or by both. I will ensure contract conditions have been followed for charging customer in all cases.
- Ensure that all closed job cards are properly billed, accounted and invoices are submitted to Finance Department timely.
- Maintain records of all total loss vehicles and issue periodical report to management.
- Analyze repair cost of vehicle and take suitable actions to control the cost to the minimum level.
- Ensure that dead stock level do not go beyond the permitted level fixed by management and aim to attain zero dead stock.
- Ensure effective utilization of replacement fleets and keep the replacement levels within the permitted level. Resolve all problems related to replacement fleets and ensure customer satisfaction always.
- Review various reports, such as daily business reports, overdue reports and location performance reports and initiate necessary actions to improve the level of performance.
- I will submit detailed analytical monthly report on cost of repairs, replacement utilization, warranty utilization, labor utilization, dead stock, pending jobs with reasons for pending, customer satisfaction etc. to management.
