JOB SUMMARY
Handles the receipt and inventory of finished products and purchased items. Coordinates the transportation of products and the control of associated costs.
Provides directions to assigned employees such as fork lift drivers, checkers and laborers. The job covers the receipt and storage of out bound materials (finished products and purchased items).
PRINCIPAL RESPONSIBILITIES
Work Directions
Provides work directions to Forklift Drivers, Laborers and Checkers, allocating work and ensuring the highest levels of performance and quality.
Finished Product Receipt
Receives finished products from production, checks batch report in the system including the physical location. Handles enquiries related to deliveries. Handles third party deliveries which include sending samples to laboratory to obtain clearance, physically checking products and entering into the system.
Shipping Finished Products
Ships finished products to any of 4 different destinations (retail sales, customers' Warehouses, Petromin Express stations and the stock depot) according to the different orders. Receives the daily "load plan" for scheduler. Carries out physical checking of materials being loaded, entering all orders shipped into the system. Follows up when there are issues related to order completion. Ensures that all orders to Petromin Express are shipped / delivered within 7 days.
Transportation
Coordinates the availability of transportation for planned shipments. This includes the day-end finalization of loads for the following day, calling transporters to obtain details of vehicle availability and assigning loads and agree timings. Checks and follows up on vehicles arrival. Informs security for vehicle passage to warehouse.
Inventory Management
Ensures that effective inventory management takes place for all finished products at the plant. Generates bi-weekly reports and asks laborers, checkers and Forklift drivers to do physical counts. Receives completed reports, checks into the system, identifies discrepancies and follows up to rectify. Carries out the quarterly inventory, distributes the inventory cards to the checkers, forklift drivers and laborers, and enters completed details in to the system.
Transportation Cost Management
Verifies all payments to be made to the transportation company. This includes checking invoices for the delivery, reviewing the rates charged against agreements. Obtains the Warehouse Supervisor's approval and gives back to the company for delivery to Petromin Finance for payment. Enter all Delivery Notes (printed from system), stock TSFR in Transport lost file along with the rates for these deliveries and report it at the end of the month.
Forklift Driver Performance
Coordinates the monthly Forklift Driver performance scheme, recording daily performance numbers and receiving the monthly report for the highest loader / best behavior in order to provide recognition and reward.
House Keeping
Ensures that the warehouse is kept in a clean, safe and tidy condition at all times. Operates a Team Performance Scheme to recognize and reward good performance on a monthly basis. Carries out physical inspections in the warehouse / yard to verify.
Delivery Note Submission
Follows up on the receipt of delivery notes which follow product delivery. Enters details of receipts into the system and passes to the sales coordinators. Receives all the delivery documents for the Petromin Express stations.
OTIF Reports
Make OTIF Diagnostic Report with the help of OTIF Tools. Provides reasons for all pending and failed orders.
Administration Work
Maintains Monthly Timesheet of all employees (concerned to DBL
