Job Purpose:
The officer will be mainly supporting the administrative and coordination tasks at the implementation stage after planning and designing stage of EMPOWER 2013 Youth Conference. The officer will work closely with the Community Development Manager.
The Officer should start working ideally, 3 months before the event and 1 month after the event.
Key Result Areas:
1. Coordination with Marketing and Communications department in regards to all logistical matters
2. Coordinate all internal meetings related to EMPOWER
a. Youth Planning Committee meetings and training
b. Speaker/trainer briefing
c. Volunteer briefing
d. Inter departmental meeting (Events, Online Education, Marketing & Communications)
e. Site visits
3. Speaker Management
a. Contacting speakers /trainers to obtain all necessary documentation for procurement
b. Collecting documentations for travel, visa, accommodation and ground transportation
c. Translating speaker requirements into smooth implementation of their workshops
d. Collate speaker profile and workshop profile for delegate pack
4. Coordination of delegate registration (local and regional)
a. Managing database
b. Assist Abdallah in contacting Regional NGOs to invite youth to participate
c. Coordinate cultural events for regional participants
d. Confirming delegates participation
e. Translating information into name badges and list of certificates
f. Contact point for participants
g. Coordinating production of name badge
h. Updating participants on the program
5. Transportation Management
a. Coordinate with QYCD on transportation planning
b. Working with Volunteer Department to ensure transportation is booked for Day 3 - Offsite projects
c. Prepare transport requirement brief which includes addresses of different site projects, contact details of offsite projects if applicable
d. Ensure effective communication with bus drivers and tracking the arrival and departure of bussed on the day of event
6. Event set up and tear down
a. Creating list of materials to be transported to venue
b. Track location of materials that has been transported to venue
c. Coordinating with events on the transportation
d. Together with Events team be responsible for the backdrop and staging installation, marketing materials are placed strategically and all signs are placed at the right room
7. On the day Coordination
a. Ensuring all workshop are set up according to speaker's requirements
b. Signage
c. Catering timing
d. Collection of evaluation forms
e. Ensuring all operations are smoothly run
8. Post Conference
a. Collecting paperwork for speaker payment
b. Assisting in post evaluation briefing
