Document Controller May 28th 2013, 05:55 A Project Management Company has openings for experienced document controllers for work on project sites. All project sites are based in Abu Dhabi Island. Job responsibilities are to organize, manage and control the project documentation, which includes but is not limited to: • All records including Correspondence, Documents, Drawings ... etc. • Logging all the correspondence, Documents, Drawings/Designs and Reports for easy retrieval. • Follow up all the Submittals & RFI's and ensure their return in an agreed upon timeframe. • Use documents management systems to add value to the project. • Preparation and distribution of weekly Document Tracking Registers. • Registration, issuance and distribution of technical documentation to internal and external parties, ensuring timely turnaround of documentation • Engage in preparing project documents and related reports as and when required/necessary. • Review site schedules and booking records to assist project team to plan and schedule work activities. • Supervise Day to day uploading and downloading of e-correspondence, drawings, transmittals and other documents. • Convert drawings to various file formats and upload them as required. • Update all spreadsheets/logs. Supervise archiving, photocopying, scanning. • Set up documents and folders for new projects. • Assign documentation activities to other Document Controllers, such as preparing receipts, compiling logs and storage reports. • Verify the correctness of the documents received from External Project Team Companies and coordinate with them to resolve any discrepancies. • Coordinate with project team companies Consultant, Contractor Document Control teams in establishing and improving Document Management System.
