Description and Desired Qualifications
Job Purpose:
Provides a variety of routine/standardized administrative and secretarial support services to a department or group of professionals. Requires basic secretarial and administrative skills.
Job Responsibilities/Accountabilities:
Duties and tasks are seldom routine in nature
Independently prepares reports, presentations and correspondence of a standard and nonstandard nature; coordinates/performs production; may prepare graphics, perform editing, make copies and bind reports
Routinely solves problems and questions that normally arise during the course of the job
Liaise with document originator, reviewer and approver during document preparation
Generates and maintains documents from database or network system
Administer petty cash fund for office expenses
Perform coordination role for conferences, professional meetings and community or office events including securing facilities, coordinating hotel services and overseeing execution of events
Supports staff in troubleshooting administrative issues
Obtains and distributes employee contact list, holiday and travel schedule
Order, maintain, and distribute office supplies
Basic Qualifications
Job Requirements/Qualifications/Experience:
High School or equivalent. Some college preferred.
Moderate to advanced knowledge of Microsoft Office Applications (Word, Excel and PowerPoint)
Knowledge of typical procedures, practices, and techniques required for correspondence, procurement and petty cash fund administration
Familiarity with document control/management systems
Ability to work independently, multi-task, prioritize and meet deadlines
Expected to utilize independent judgment to adapt practices, procedures and techniques as required to accomplish duties and responsibilities of the job
Ability to interact in a professional and respectful manner
Experience in dealing with confidential and highly sensitive materials and deadlines
Previous work experience in an engineering office is preferred
Fluent in English
