Provide administrative/ secretarial support to the Human Resource Department such as answering telephone, greeting and assisting visitors and resolving and/ or referring a range of administrative problems and inquires
Handle all the corporate correspondence addressed to the Human Resource Director and the HR Department associate
Prepare required documents on recruitment issues
Prepare and type reports, statistics, memorandums and any other routine correspondence in English and/or Arabic as required
Create and maintain an updated and comprehensive list of all associates in the Hotel
Establish, maintain and update files, databases, records, and/ or other documents; responsible for accurate filing and archiving (both in a hard and computerized format) of departmental documentation containing all associates' records and necessary documents
Handle the day to day physical operations which include: liaising and coordinating the office supplies and IT consumables; inventory control of office supplies ensuring availability of items at all times
Log up to date master file in relation to standards, policies and procedures including Service Performance and Products Standards
Prepare copies, collate materials and documents
Responsible to handle important office matters competently in the absence of the Group HR Manager
Coordinate and liaise with the different departments of the Hotel and actively contribute in the internal meetings of the firm.
Assist with the department meetings, arrangements, preparing relevant to the meeting documentation; taking, preparing and distributing meeting minutes to the departmental heads
