Organize office operations and procedures to ensure the smooth running of the office
Ensure the preparation of time sheets for all office staff
Review and approve purchase orders for supplies and office requirements
Liaise with other Office Managers, Companies, and departments
Oversee the maintenance of all office equipment in coordination with the Maintenance Department
Responsible for the supervision of all office staff and their work assignments
Assign and monitor clerical and secretarial functions to the relevant staff in the office
In coordination with the HR Department, recruit and select office staff for any available vacancies or office needs
Offer guidance and support to new and old employees
Monitor and evaluate office staff performance on a regular basis
Ensure the maintenance of all office records and assign responsibility for the archives, and archiving all office documents
Oversee the development of an in office filing systems
Ensure that the filing systems are maintained and up to date
Define and determine the appropriate procedures for record retention
Ensure that all documents, records, and files to be transferred or sent to other HBG offices are done using a courier service.
Oversee that all documents, records, and files are archived, transferred, or disposed of according to retention schedules and policies
Ensure that office inventory is done periodically and oversee the replenishment of stock when necessary
Anticipate needed office supplies and ensure all purchase orders are filled out
Oversee the receipt of supplies and ensure appropriate inventory is completed upon receipt.
Prepare reports on a periodical basis on individual performances.
Initiate and implement incentives for staff to optimize work output.
Oversee all aspects of general office coordination
Maintain confidentiality in all aspects of supplier and staff information.
Attend management, committee meetings or other meetings as requested
