Job Description:
This a key role within the Education division of KAUST situated on our world-class Campus here by the Red Sea in Western Saudi Arabia.
Experience gained within a University environment is preferred although not pre-requisite.
Job Summary:
The Graduate Affairs Logistics Specialist provides operational support and at times leadership on relocation, scholarship management travel and other ad-hoc projects within Graduate Affairs.
Major Responsibilities:
The Graduate Affairs Logistics Specialist develops and implements processes and systems that relate to:
All student relocation logistical management (onboarding, exiting)
Student annual repatriation travel coordination and any related allowances
Student scholarships as is required (e.g. the KAUST Scholars)
Cyclical student-focused projects, such as Commencement and other academic events
Responsible for managing and on-boarding and exiting caseload of Graduate Students, as well as maintaining their personal/family information once enrolled:
Assigned the problematic/most-complicated newly accepted students, and will be expected to assists in the training and day-to-day supervision of new onboarding staff members, and fill in for the Scholarship Lead when away.
Assist the Scholarships Lead and Policy Analyst with developing and executing improved tracking and reporting systems for student allowances (relocation, repatriation, academic travel, etc.).
Coordinates and executes special projects among a multi-office group, including but not limited to Graduate Operations, the Registrar, Graduate Services, and IT.
Overseeing and monitoring projects' progress, developing systems solutions across areas, budgetary analysis, process-mapping, and assisting with the development of Graduate Affairs' internal processes and controls.
Provides financial and academic monitoring of remaining off-campus scholarship program.
The Graduate Affairs Logistics Specialist assists with cyclical special projects, such as Commencement, Student Competitions, and other academic events.
Performs other duties and special projects within the range of skills normally associated with this type of position, as required.
Desired Skills & Experience
Technical Skills:
Experience in the implementation of student policies and procedures.
Advanced user of Microsoft Excel, with understanding of computing applications, working knowledge of Microsoft Office and other financial packages and applicable ERP systems (e.g. SAP) and other programs.
Sound knowledge and/or experience of University operations and funding.
Required Education:
Bachelor's degree in Business Administration or a relevant field.
Non-Technical Skills or Attributes:
Excellent command of oral and written English
Ability to multitask, provide leadership at times to small team of on-boarding advisors, and work under time constraints
Strong customer focused background.
