Job Summary
Under the general direction of the Registrar creates all academic scheduling for semesters, classes and final examinations. Manages the scheduling of academic space. Co-ordinates the final grading process to ensure grades are entered promptly and accurately.
Major Responsibilities
- Responsible for the creation of the academic semester schedule
- Ensure all programed courses are scheduled fairly, without clashes and within space constraints in an optimal manner
- Programs the academic schedule into the SAP student database management system (SLcM)
- Serves as primary source of information about class schedules for faculty, students and staff
- Distributes class schedules to students and faculty in a timely manner
- Provide scheduling solutions to last minute changes to schedules that do not impact on the efficiency of the existing schedule
- Ensures any resulting problems in registration and class adjustments are resolved promptly
- Creates program structure in SLcM
- Assures new courses are listed in SLcM to ensure fulfillment of degree audit requirements. Assign new course numbers to assure proper course sequence and academic level of course
- Builds final examination schedule that is fair to all students with no examination conflicts and within fixed time and space limitations
- Schedules final examinations into appropriate rooms
- Distributes the final examination schedule to students and faculty
- Monitors final grading progress and follows up on any grading issues
- Ensures the efficient return of grades so that all outstanding semester grades are submitted from faculty
- Assist faculty with grading problems and input grades manually
- Ensures any registration or grading problems are corrected promptly
- Assists in registration and class adjustments
- Schedules all ad-hoc events into classrooms and lecture halls
- Manages WEP space allocation
- Ensures the accurate transfer of WEP student registration information onto SLcM
- Explores new and more efficient ways to develop and communicate class and examination schedules and space allocation

Technical Skills
- Experience in creating scheduling algorithms
- Experience in student database management systems
- Ability to create schedules manually or using scheduling software
- Ability to anticipate and proactively solve potential scheduling or space allocation problems
Non-Technical Skills or Attributes
- Ability to work under pressure, handle multiple projects, work accurately, meet deadlines and follow through tasks to completion
- Knowledge of academic programs
- Ability to use and extract data from central and local data systems
- Excellent skills in excel and word processing software programs
- Demonstrated commitment to providing superior customer service to a diverse range of students, faculty, staff and serve as an integral member of a customer-service oriented team
- Excellent interpersonal and communication skills
- Excellent problem solving and analytical skills
- Ability to make informed decisions without oversight
- Strong attention to detail
Required Education
Bachelor's degree in business administration or other relevant field.
Master degree is preferred.
Required Experience
2 to 5 years of relevant experience in an academic setting
