• To provide full PA and administrative support to Senior Management, to include: general administrative duties, diary management, co-ordinating meeting arrangements for both internal and external meetings, organising travel, conference and entertaining arrangements; creating and preparing presentations and spreadsheets; liaising with internal and external contract regarding any on-going matters.
• To work closely with the Business Development Department, providing administrative support and assisting with the compilation of client proposal documents
• To be responsible for submitting pre-qualification packages to potential clients and follow up correspondence relating to all new enquiry and proposals.
• To assist the Senior Management in the co-ordination and organisation of exhibitions for business development purposes, co-ordinate all new marketing material and ensure the company website and other industry related sites are up-to-date
• To assist the Senior Management with advertising and recruiting new members of staff
• To have responsibility for ensuring all HR administrative duties are dealt with under the direction and guidance of the Senior Management
• To be responsible for co-ordinating and arranging all travel details for site engineers from obtaining competitive quotes for flights, accommodation and car hire, creating travel schedules in accordance with client budget and project requirements, ensuring correct travel documents, visas and work permits are sought to liaising with the Finance Department with regards to travel expenditure, receipts and budget recharges.
• To assist the Senior Management with the administrative aspects of the Company Information Technology systems to include: maintaining the day-to-day relationship with the external IT company; ensuring all IT problems are correctly logged, repaired and dealt with within the appropriate timescales and to be responsible for ensuring the weekly off-site IT back up systems are carried out.
• To be responsible for the co-ordinating of property maintenance, ensuring all the administrative paperwork including renewal of lease agreements are actioned
• To be responsible for maintaining the job invoicing, work and job schedules are completed on a monthly basis and maintaining the cathodic protection engineering design schedule through close liaison with the Operations Manager
• To provide general administrative and secretarial support to the department and other areas when required
• To uphold and carry out the duties of the post with due regard to the Company's Equal Opportunities and Dignity at Work Policy
• To uphold the Company's Health & Safety requirements, particularly with regard to agreed codes of practice and safe methods of working.
