Duties & Responsibilities:
- Receive, direct and relay telephone messages and fax messages
- Perform administrative duties including typing and/or word processing all correspondence, reports and memorandum emanating from the DGM.
- Receive and screen visitors, telephone calls and correspondence directed to the DGM.
- Assist in the planning and preparation of meetings, conferences and conference telephone calls.
- Make preparations for Group Council and committee meetings.
- Compile, record, and distribute minutes of meetings.
- Manage and maintain executives' schedules.
- Understand administrative and operating policies and procedures for employees.
- Prepare agendas and make arrangements for committee, board, and other meetings.
- Assist and act in a confidential capacity to the DGM, involving department operations including matters regarding the formulation, determination and effectuation of the management policies of the department/labor relations.
- Make travel arrangements for the DGM.
- Perform personnel tasks for the DGM such as maintaining personnel files, preparing advertising copy for recruitment of new staff.
- May attend confidential performance appraisal meetings and take minutes.
- Prepare special and recurring reports for the organization by gathering data from various sources and typing information in appropriate reporting format.
- Answer general inquiries from the public and other County staff regarding departmental polices, practices and procedures.
- Attend meetings in order to record minutes.
- Prepare invoices, reports, memos, letters, financial statements and other documents.
- Set up and oversee administrative policies and procedures for offices and/or organizations.
