The Document Controller will be responsible for controlling the issuing/receiving of controlled documents (letters and contracts etc.) within the company and to third parties through the use of the department electronic document management system.
► Compile and maintain control records to release letters, and documents for Director of Finance and other departments/third-parties.
► Determine and enforce document control needs in order for the company to meet internal and external requirements.
► Manage and administer the department electronic document management system (EDMS) including how to acquire, catalog, preserve, and access storage of project records and information.
► Maintain level of security and access control on controlled documents to prevent unauthorized access.
► Confer with document originators personnel to resolve discrepancies and compile required changes to documents.
► Monitor the distribution of sensitive documentation between departments and individuals in order to ensure it is tracked and received back.
► Oversee the documentation system to ensure all documents are delivered promptly and accurately to requesting party.
► Prepare reports through the document control system, and report on the performance of the review as a basis for improvement of the system.
► Ensure that controlled documents are tracked; report any missing documents to the Director of Finance.
