- Assist calendar managing, e-mail checking, phone answering, filling, oversea and local business trip arrangement, translation, expenses reimbursement, office admin.
- Organize and follow up meetings, meeting minute's preparation.
- Compose response to routine correspondence for Managers signature.
- Type general correspondence, including letters, memos, faxes and reports etc.
- Organize travel itineraries, including booking flights, hotels, restaurants etc.
- Arrange invoice payments.
- Manage and co-ordinate diaries including arranging and booking internal and external meetings.
- Handle telephone calls including responding to customer requests.
- Maintain Department Register i.e. sickness, holiday, business trips, courses, Working Time Directive, movements, locations etc. including up-keep of outstanding leave entitlement to ensure adequate cover is maintained at all times.
- Maintain an effective filing system.
- Deal with all the enquiries/requisitions/approvals of different on-line systems.
- Act as primary liaison with the IT service support group and shared service centers.
- Other ad-hoc administrative duties as required e.g. arrange conferences and offsite meetings.
